HiredEasy Privacy Policy

This policy explains what information HiredEasy processes, why it is needed, and the choices available to users.
1. Who we are
HiredEasy is a job-search and career-management platform that helps job seekers organize career information, discover opportunities, evaluate relevance, prepare application materials, and track applications. Questions about this policy or HiredEasy’s handling of personal information may be sent to support@hiredeasy.ca.
2. Information users provide
Depending on the features a user chooses, HiredEasy may collect and process:
- Name, email address, account details, profile image, and authentication information.
- Career and employment history, employers, dates, job titles, responsibilities, skills, education, certifications, projects, and tools.
- Career preferences, target roles, industries, exclusions, location or commute preferences, work-model preferences, schedule preferences, and compensation preferences.
- Uploaded resumes and the employment, education, skills, certification, project, and other career information extracted from them.
- Career Evidence, including verified career facts, evidence status, competency tags, and user-approved resume wording variations.
- Viewed, saved, dismissed, or adopted jobs; job-fit results; applications; application stages and outcomes; generated resumes and documents; and application-preparation records.
- User review decisions, corrections, approvals, rejections, feedback, and support communications.
3. Google Account Information
Google is used for account authentication. When a user chooses “Continue with Google,” HiredEasy may receive the basic account information the user authorizes Google to provide, such as the Google account identifier, name, email address, and profile image where supplied.
HiredEasy uses this information to authenticate the user, create or safely link the user’s HiredEasy account, maintain account identity and session security, and associate private HiredEasy records with the correct user.
The current Google Sign-In implementation requests only the basic authentication and profile information needed for sign-in. Basic Google Sign-In does not authorize HiredEasy to read Gmail messages, Google Drive files, contacts, calendars, or other Google Workspace content.
HiredEasy does not currently use Google Sign-In permission as permission to access Gmail. If a separate Google-data integration is offered in the future, it will require a distinct explanation and user authorization before that data is accessed.
4. Resume and career data
HiredEasy may process uploaded resumes and career information to create a structured career profile, identify competencies and atomic career facts, generate user-reviewable responsibility questions and wording alternatives, evaluate job relevance, prepare tailored resumes, and support application workflows.
System- or AI-suggested responsibilities are stored separately from verified evidence. A suggestion does not become verified career history merely because it was generated. Users are expected to review and confirm career facts and application materials before relying on them.
5. Job-search and application data
HiredEasy may record jobs a user views, saves, dismisses, or adopts; personalized eligibility, relevance, qualification, and preference results; application records; application stages and outcomes; prepared answers; generated documents; and related workflow actions. This information is used to organize the user’s search, present relevant opportunities, maintain application history, and avoid repeating work.
6. Automated and AI-assisted processing
HiredEasy may use automated rules and AI-assisted processing to interpret resume and career information, suggest target roles or responsibility questions, create reusable wording variations from confirmed facts, evaluate job relevance, and assist with document preparation. Automated suggestions can be incomplete or incorrect and should be reviewed by the user.
HiredEasy provides tools to job seekers. It does not make hiring decisions, determine whether an employer will interview or hire a user, or act as an employer or recruiting organization for third-party jobs.
7. Information collected automatically
When the service is used, HiredEasy and its service providers may process authentication and session information, request and event timestamps, feature-usage events, task and document-processing status, security events, and operational or error logs. Hosting and security infrastructure may also process ordinary technical request information such as IP address, browser or device characteristics, and request identifiers. HiredEasy does not claim to use advertising trackers, and usage events are designed to avoid storing unnecessary resume or career-content text.
8. How information is used
HiredEasy uses information to:
- Provide, maintain, and improve the service.
- Authenticate accounts and keep private records associated with the correct user.
- Create and maintain career profiles and Career Evidence.
- Personalize job discovery, matching, and recommendations.
- Generate or assemble resumes, documents, and application materials requested by the user.
- Organize applications, stages, outcomes, and saved opportunities.
- Measure service operation, troubleshoot errors, protect security, prevent misuse, and support users.
- Enforce the Terms of Service and comply with applicable legal obligations.
9. Service providers and third parties
HiredEasy relies on service providers to operate the platform. Current categories include:
- Supabase for authentication, database, storage, access controls, and related backend services.
- Google for Google Sign-In when selected by the user.
- OpenAI and ChatGPT Sites infrastructure for application hosting and delivery and, when an enabled HiredEasy feature uses it, authorized AI-assisted processing.
- Internet infrastructure and employer or job-site services needed to retrieve or link to publicly available job information.
These providers process information only as needed to provide their respective services under their own contractual and privacy obligations. Payment processing is not described as active collection in this policy unless and until a payment option is enabled and identified to the user at checkout.
10. Data sharing
HiredEasy does not sell or rent users’ personal information and does not share personal information with advertisers for their independent advertising use. Information may be disclosed to service providers and processors supporting HiredEasy; when a user requests an action involving a third party; to investigate security, fraud, abuse, or technical incidents; when required by law or valid legal process; or in connection with a merger, financing, acquisition, reorganization, or transfer of the service, subject to applicable law.
11. Data storage and security
HiredEasy uses authenticated access, user-scoped records, database and storage controls, server-side authorization, and Row Level Security policies where applicable to separate private user data. Administrative operational views are designed not to expose private resume or evidence contents by default. No online service can guarantee absolute security, and users should protect their account and sign-in credentials.
12. Data retention and deletion
Account, career, application, and document information may be retained while an account remains active and for as long as reasonably necessary to provide the service, maintain security and backups, comply with legal obligations, resolve disputes, and enforce agreements. Access expiration does not automatically delete a user’s career or application history. Users may request account or personal-data deletion by contacting support@hiredeasy.ca. Some information may be retained where legally required or necessary for security, fraud prevention, or legitimate recordkeeping.
13. User rights and controls
Subject to applicable law and appropriate identity verification, users may request access to, correction of, or deletion of their personal information, or ask questions about their account and privacy. Requests may be sent to support@hiredeasy.ca. Rights differ by jurisdiction, and HiredEasy will respond as required by applicable law.
14. Job seekers and employers
HiredEasy primarily acts as a tool for the job seeker. It is not the employer, staffing agency, or recruiting organization responsible for opportunities discovered through the platform. Users decide where and whether to apply and are responsible for reviewing information before submitting it to an employer.
15. Third-party job sites
HiredEasy may link to employer career pages, applicant-tracking systems, or third-party job services. Those destinations control their own collection and use of information. Their privacy policies—not this policy—govern information a user submits directly to them.
16. Children
HiredEasy is not directed to children under 13. A person must also meet any higher minimum age required in their jurisdiction and be legally able to agree to the Terms of Service, or use the service with valid parent or guardian authorization where permitted. If HiredEasy learns that personal information was collected from a child contrary to applicable law, it will take reasonable steps to delete it.
17. International processing
HiredEasy’s service providers may process information in Canada, the United States, or other countries. Privacy and data-protection laws may differ from those in a user’s country. HiredEasy uses service providers and safeguards appropriate to the services being provided and applicable legal requirements.
18. Changes to this policy
HiredEasy may update this Privacy Policy as the service or legal requirements change. The revised policy will be posted here with an updated “Last updated” date. Material changes may also be communicated through the service where appropriate.
